We support your right to be informed and make choices about the data and information you share with us. Our website includes tools for users to manage their personal data. You can request a copy of your data and download it. You can also request the permanent destruction of your account and all associated personally identifiable information.

At both Enterprise Holdings, Inc., a Missouri corporation and Enterprise Rent-A-Car UK Limited having registered offices at Enterprise House, Melburne Park, Vicarage Road, Egham, Surrey TW20 9FB (“Enterprise”, “our”, "us", or “we”), we respect the privacy of our customers and business partners. We have implemented this privacy notice to explain how we and our Community provider, Fuel Cycle, collect and use the personal information we may gather by means of the website, The Exchange Community. Please note: this privacy notice only covers the collection and use of data for “The Exchange Community” (“Community”) participants only. Participation in the Community is completely voluntary, and you can opt-out of participation at any time. Use of personal information for providing car rental services is governed by our Global Privacy Policy.

 

The Types of Information We Collect

When you are invited to participate in the Community, there is information we ask you to provide or confirm. We also collect information through your use of the Community. We collect the minimum amount necessary to facilitate our Community conversations and feedback, as well to improve the Community and your experience. The personal information we collect from you includes:
  • Contact information (such as name and address)
  • Gender
  • Email address
  • Year of Birth
  • Loyalty Club Member Number (where applicable)
  • User name and password
  • Business Name (where applicable)
  • Other information – your opinions of our services, products and features, and any photos or videos you may upload to The Community
     

Information Collected and Stored Automatically

Fuel Cycle automatically collects certain information from your device when you visit the Community to help us understand how you use the site. For example, each time you visit the Community, Fuel Cycle will automatically collect your IP address, browser and computer type, access time, the web page from which you came, and the web page(s) that you access during your visit. Fuel Cycle also uses cookies (which are small amounts of data sent from a web server to your browser that are stored on your computer’s hard drive) to make accessing the Community easier for you. Fuel Cycle does not link the information stored in cookies to any other Personal Information that you provide to us through the Community. You can set your browser not to accept cookies or to notify you if you are sent a cookie, giving you the opportunity to choose whether to accept the cookie. Please note that if you do set your browser not to accept cookies, certain areas of the Community may not function properly.

 

How We Use Information About You

We use the information we collect for the following purposes:
  • Where it is necessary for our legitimate interests, as listed below, and where our interests are not overridden by your data protection rights, including
    • To assist in creating marketing plans.
    • To help improve operational processes.
    • To respond to your questions and contact you when necessary, for example, when providing you with a reward for completing an activity.
    • To assist us in providing better products and services by compiling statistics and analysis about the use of the Community.
    • To protect our rights and property as well as that of Fuel Cycle.
  • Where it is necessary for us to enter into a contract with you and provide services to you for the duration of the contract, including
    • To provide customer service related to your interactions with us or to respond to your enquiry.
    • To enroll you in the Community and send non-promotional information relating to your ongoing membership.
  • Where necessary for us to comply with a legal obligation, including
    • To share information with government and regulatory authorities when required by law or in response to legal process, obligation, or request.
  • Where you have given consent, including
    • To send you certain promotional communications about opportunities that may be of interest to you. These will include invitations to participate in an activity.
       

Who We Share Information With

Except as otherwise described in this section of our Privacy Notice, we and Fuel Cycle do not share your Personal Information with any third party without your permission. 

Aggregated Data. Fuel Cycle collects and uses aggregated information of users who use the Community for enhancing users’ experience and providing feedback to us. Fuel Cycle may share aggregated information with third parties but not in a manner that would enable the recipient to personally identify you.

Service Providers. Fuel Cycle has relationships with third parties who provide services to support the Community, platform and services (e.g., Fuel Cycle uses a third-party provider for electronic mailing). In those circumstances, Fuel Cycle only discloses Personal Information that is necessary for such service providers to perform those services and requires that they maintain the confidentiality of such Personal Information. 

Site Access/Improvement. Fuel Cycle will view, store and use Personal Information (1) to provide access to the Community and related services, (2) to communicate with you concerning your account, and customer service issues, (3) to personalize and improve the Community and related services, (4) to ensure the technical functioning of the Community and related services, (5) to develop new services, and (6) to protect the copyright-protected content of our Community site and related services. 

Other Disclosure Scenarios. Enterprise and Fuel Cycle reserve the right to share or use any Personal Information: (1) in response to subpoenas, court orders, or legal process, or to establish, protect, or exercise our legal rights or defend against legal claims; (2) if we believe it is necessary in order to investigate, prevent, or take action regarding illegal activities, fraud, or situations involving potential threats to the safety of any person or property; (3) if we believe it is necessary to investigate, prevent, or take action regarding significant abuse of the Community’s infrastructure or the Internet in general (such as voluminous spamming, denial of service attacks, or attempts to compromise the security of information); (4) to our parent company, subsidiaries, joint ventures, or other companies under common control with us (in which case we will require such entities to honor this Privacy Notice); and (5) if we are acquired by or merge with another entity.

 

Children’s Privacy

The Community is not directed to, and Enterprise does not knowingly collect personal information from, children under the age of 13 or of your country's age of minority. We recommend that parents actively participate in their children's use of the Internet. If you nevertheless believe that your child has provided us with their personal information and you need to let us know to delete it, please contact the moderator or close the account in the profile settings.

 

Your Rights

If you wish to review, amend, correct, or update personally identifiable information you have provided or if you wish to close your account, you can do so in your profile in the Community or by contacting the moderator.  To opt-out of The Community emails, please use the unsubscribe link located at the footer of each email or change the setting in your Community preferences. 
 

Retention of Your Personal Information

Your information will be retained for the duration of your Community involvement.  Upon leaving the Community, your information will be removed immediately.  If you have not logged in for six months, your account and registration data will be deleted. Aggregated anonymous data as well as individual posts may, however, continue to be used for statistical, archiving, and other analytical purposes.

If we are involved in litigation or a governmental or regulatory investigation, then we keep data throughout the period of litigation or investigation and for 5 years after that. If a settlement means that we have to keep data for longer, then we keep data for the period required to administer the settlement. If we provide data to law enforcement agencies, then we keep a record of this for one year beyond the end of the investigation.
 

Global Data Transfers and Processing

Your use of the Community may be subject to Fuel Cycle’s or The Exchange’s Terms and Conditions of Use. The data collected via the Community will be transferred to and stored in the United States of America. See Fuel Cycle’s privacy policy for more information.
 

Changes to this Notice

We may change this Privacy Notice from time to time. When we do, we will change the Effective Date located at the beginning of this Privacy Notice. If we change this Privacy Notice in a material way, we will provide appropriate online notice to you.
